Understand and manage additional membership programs

Additional membership programs allow your property or brand to:

  • Offer extra loyalty or membership structures alongside the primary loyalty program.

  • These can represent partnerships such as:

    • Airline programs.

    • Internal recognition programs such as corporate or employee memberships.

    • Any program that earns credits outside of the primary loyalty structure.

These programs help increase engagement by allowing guests to earn credits beyond the primary program by either combining those credits with the primary balance or keeping them separate based on your configuration.

Credit earning

Each additional program uses tailored earning rules. These tell the system when and how to assign credits.

  • Employee stays earning employee-specific credits.

  • Corporate travelers collecting corporate benefit credits.

  • Airline partners awarding miles.

    • These are kept separate and transmitted externally.

Credit combining versus credit separation

You control whether the secondary program's credits merge with the primary program:

  • Combined:

    • Guests see one total credit balance.

    • Credits apply toward primary redemption options.

  • Separate:

    • Credits remain distinct and may be transferred externally, for example airline miles.

This is controlled by a setting in each membership program's configuration.

Rate code eligibility

Each additional program can include rate codes that only members of that program are eligible to book. This can supplement or override their eligibility from the primary program's tiers.

  • Employee or friends-and-family rate plans.

  • Corporate rate codes.

  • Exclusive partner program rates.

Guest experience

In the guest portal, guests can:

  • View their additional memberships.

  • See credit balances.

    • Combined or separate depending on your setup.

  • Update membership details.

    • Only if guest editing is enabled.

  • Secondary programs appear beneath the primary membership in the portal.

Key characteristics of membership programs

Outlined below are key characteristics of additional membership programs.

  • Additional programs do not have tiers inside the CRM.

  • Each program has its own earning rules that determine how credits accumulate.

  • Credits may be combined with the primary program or kept separate.

  • Rate plans may be restricted to members of a specific additional program.

  • Guests can view these memberships in the guest portal.

Before you start the setup of membership programs

Outlined below are important factors to know before you can add extra loyalty or membership structures.

  • A primary loyalty program must exist before you can add secondary programs.

  • Secondary programs do not support tiers or rewards.

    • These features belong only to the primary loyalty program.

  • Decide in advance whether earned credits will combine with primary credits or remain separate this impacts reporting and redemption.


Create a new additional membership program

Follow the steps below to create a new program.

  1. From the left navigation menu, click CRM Setup.

  2. Click Loyalty Program Management.

  3. Click Add Loyalty Program and enter the program name and member-facing label settings.

  4. If guests should be able to update their secondary membership details, click Allow Guest Updates.

  5. Choose the credit behavior:

    • Combine credits with primary program, or

    • Keep credits separate.

  6. Add any rate codes that should be exclusive to this program.

  7. Click Save.

πŸ“ŒNote: The CRM does not validate secondary membership data. If the program is linked to an external partner, validation happens through that partner's system.

Configure earning rules for a secondary program

Follow the steps below to configure earning rules for an additional membership program.

  1. From the left navigation menu, click Loyalty Setup.

  2. Click Loyalty Earning Rule Setup.

  3. Click Add Earning Rule or select an existing rule to modify.

  4. In the Loyalty Program field, select the additional membership program.

  5. Complete all earning rule fields as appropriate for the program.

  6. Click Save.

Customize guest portal labels

Follow the steps below to customize the labels guests see for additional membership programs in the guest portal.

  1. From the left navigation menu, click Guest Portal Setup.

  2. Click Guest Portal Label Setup.

  3. Locate the labels related to additional membership programs.

  4. Enter the custom text for each language as needed.

  5. Click Save.


Manage additional memberships on guest profiles

Add an additional membership to a profile:

  1. From the left navigation menu, click Profile Management and click Guest.

  2. Enter profile search criteria and click Search.

  3. Click Guest Name to select profile.

  4. Navigate to the tab labeled Additional Programs and click Add Additional Program.

  5. Select the Additional Program from the drop-down list.

  6. Enter the Secondary Member ID.

    1. This is the program membership number.

  7. Ensure the flag for Active is selected.

  8. Click Save Additional Program.

Modify an additional membership on a profile

Modify an additional membership on a profile.

  1. From the left navigation menu, click Profile Management and click Guest.

  2. Enter profile search criteria and click Search.

  3. Click Guest Name to select profile and navigate to the tab labeled Additional Programs.

  4. Identify the membership you would like to modify.

  5. Click Edit Program Details and modify the secondary member ID, this is the program membership number.

  6. Ensure the flag for Active is selected.

  7. Click Save Additional Program.

Inactivate an additional membership on a guest profile

Follow the steps below to Inactivate an additional membership on a guest profile:

  1. From the left navigation menu, click Profile Management.

  2. Click Guest and enter profile search criteria.

  3. Click Search and click Guest Name to select profile.

  4. Navigate to the tab labeled Additional Programs.

  5. Identify the membership you would like to make inactive.

  6. Click Edit Program Details and ensure the flag for active is not selected.

  7. Click Save Additional Program.

πŸ“ŒNote: The CRM does not validate secondary membership data. If the program is linked to an external partner, validation happens through that partner's system. The CRM will not allow duplicate membership data to be entered.

View credit balances

Follow the steps below to view credit balances for additional membership programs on a guest profile.

  1. From the left navigation menu, click Profile Management and click Guest.

  2. Enter profile search criteria and click Search.

  3. Click Guest Name to select profile.

  4. Go to the Loyalty Credit Balance field to see credits associated with the primary program and any combined secondary programs.

  5. Click the Earnings tab to view:

    • Credits earned per additional program.

    • Transfer statuses, if applicable.

Manually issue credits

Follow the steps below to manually issue credits to a guest for an additional membership program.

  1. From the left navigation menu, click Profile Management and click Guest.

  2. Enter profile search criteria and click Search.

  3. Click Guest Name to select profile and open the Earnings tab.

  4. Click the option to manually assign credits.

  5. Complete the following fields:

    • Loyalty program this is required: Select the loyalty program from the drop-down list.

    • Credit: Enter the amount of credits to be issued.

    • Reason: Select a reason code from the drop-down list:

      • Stay.

      • Stay bonus.

      • Loyalty promotion.

      • Loyalty gesture.

      • Missing stay.

      • Social media.

    • Expiration: Select one of the following options:

      • Date: Select a specific expiration date from the calendar picker.

      • Days: Enter the number of days until expiration.

      • Do not expire: Credits will never expire.

    • Internal remarks: Enter any internal notes. These are only visible in CRM.

    • External remarks: Enter any guest-facing notes. These are visible to the guest on the guest portal.

    • Confirmation number: Enter the reservation confirmation number. This field is required when using stay, stay bonus, or missing stay reason codes.

  6. Click Save.


Reporting for additional programs

Follow the steps below to run and export a report for additional programs.

  1. From the left navigation menu, click CRM Reports.

  2. Click Loyalty Program Reports and click Additional Programs Points.

  3. On the tab labeled Additional Program Points, enter the report search criteria:

    1. Issued begin date.

    2. Issued end date.

    3. Expiring begin date.

    4. Expiring end date.

    5. Does not expire.

  4. Click Search and click Export to export the report.

  5. Enter the preferred file name for the file export.

  6. Click Save and Close.

  7. Navigate to the tab labeled Additional Programs Points Report.

  8. Locate your report.

  9. Click on the file name under the Download column to download the report.


Frequently asked questions

Outlined below are a list of frequently asked questions.

Can a guest join an additional membership when making a booking?

No. Guests must already be members of the primary program and add secondary memberships through the Guest Portal or via staff in CRM.

Do secondary programs support tiers?

No. Only the primary loyalty program includes tier structures.

Can secondary program credits be redeemed inside SHR CRM?

Only if they are combined with the primary program. Independent credits (e.g., airline miles) cannot be redeemed inside the CRM.

What if a guest doesn't want to be part of the secondary program anymore?

You can inactivate the membership in CRM, or the guest can remove it in the Guest Portal (if enabled).

Does excluding a reservation from the primary program also exclude the secondary program?

No. Earning rules for each program operate independently.

Is this feature suitable for employee or corporate rate program management?

Yes. Many brands use secondary programs to manage employee rates, corporate memberships, or vendor-specific benefits.

Are airline partnerships supported?

Yes. The CRM currently integrates with SAS Airlines. Contact the SHR team to request additional partnerships.

What will I see in the CRS?

Secondary membership programs are only visible in the CRM and are not presented in the CRS.
