In this article we will cover system languages. It will cover what controls are in place, how to read the page, and how language configuration is managed.

Understand system languages

System languages controls which languages are available throughout the CRM system, including the member portal, email templates, and reports. Enabling a language makes it available as a selectable option wherever guest-facing language configuration exists such as email template variations, guest portal labels, and other multilingual content. Disabling a language removes it from those configuration options but does not delete any existing content already created in that language. This setting applies at the client level, not per hotel. It has no effect on the CRM admin interface language.

Key characteristics of system languages

Outlined below are key characteristics of system languages:

  • The CRM supports 31 languages for guest-facing content.

  • At least one language must be enabled at all times.

  • Exactly one language must be set as the default.

  • The default language cannot be disabled. Change the default first if you need to disable it.

  • Enabling a language does not generate translations automatically. Guest portal labels, email templates, and other content must be manually configured in each enabled language.

  • Disabling a language removes it from configuration dropdowns but does not delete existing content created in that language.


Access and permissions to the system languages

System languages is a view-only page for customers. Customers can view the current language configuration but cannot make any changes. The toggle switches and radio buttons are visible on the page but are not functional for customers.

All changes to system languages are made exclusively by the support team during onboarding or when a client expands into additional regions or markets. To request a language change, contact support or your account manager.

Access system languages

Follow the step below to access the system languages page:

  1. From the left navigation menu, click CRM Setup and click System Languages.

Reading the system languages page

The page displays a summary header and a full language table as outlined below.

Summary header

Three cards at the top of the page show:

  • Total languages: The number of languages supported by the system is currently thirty one.

  • Enabled: The number of languages currently enabled for your account.

  • Default language: The language currently set as the guest-facing default.

Language table

The table lists all supported languages with the following columns:

Language

The name of the language. The default badge identifies the currently set default. An info icon (β“˜) displays the Language ID, where the language is used either in the member portal, emails and reports, and whether it is currently active in the system.

Status

Indicates whether the language is enabled or disabled for this account.

Enabled

Toggle switch showing the enabled or disabled state. Visible to customers but not functional, changes can only be made by the SHR support team.

Default

Radio button indicating which language is set as the guest-facing default. Only one may be selected. Visible to customers but not functional, changes can only be made by the SHR support team.

You can use the filter languages search box to quickly locate a specific language in the list.

Can I enable or disable languages myself?

No. The toggle switches and radio buttons on this page are visible but not functional for customers. All changes are made by the SHR Support team. Contact SHR Support or your Account Manager to request a language change.

What does enabling a language actually do?

Enabling a language makes it available as a selectable option in guest-facing configuration screens, such as email template translations and Guest Portal labels. It does not automatically generate translated content, all content must be configured manually for each enabled language.

Will disabling a language delete my existing translated content?

No. Disabling a language removes it from configuration dropdowns so new content cannot be created in that language, but it does not delete any content already created in that language.

Why can't I see system languages in my menu?

Access to the system languages page is permission-based. Not all customers have visibility of this page. If you need to review your language configuration, contact SHR support.

What is the language ID shown in the info tooltip?

Each language has an internal language ID used by the CRM system. This is referenced in technical configuration, reporting, and integrations. The tooltip also shows where the language is used in the member portal, emails or reports and confirms whether it is currently active.

Can different hotels within my account use different default languages?

No. Language settings apply at the client level, not per hotel. All hotels within your account share the same enabled languages and default language.
