📌Note: Initial Tango Card configuration must be completed by the SHR team. Hotels and brands manage funding, catalog selection, and guest communications independently.

    • Tango Card integration and subscription fees added to SHR contract.

    • Active CRM Guest Recognition module or loyalty program.

  • Tango card account:

    • Establish direct account with Tango Card.

    • Fund account independently, SHR does not manage funding.

    • Complete account setup to receive API credentials.

  • Configuration by SHR Team:

    • Interface configuration in CRM.

    • Custom reward link creation for guest communications.

    • API endpoint and credential setup.

    • Custom reward link card image.

Gather assets for custom reward link

Prepare the following assets before requesting custom reward link creation from the SHR team:

  • Custom reward link card image

    • File format: JPEG, PNG, or vector-based EPS.

    • Minimum dimensions: 1200px (W) × 755px (H).

    • Name: Descriptive reward link name for example Grand Hotel Rewards Link.

  • High-resolution logo for landing page

    • File format: JPEG, PNG, or vector-based EPS.

    • Resolution: 300 dpi.

    • Dimensions: 278px × 178px.

  • Background color, this is optional

    • Provide hex color code for landing page background.

  • Custom Text Fields, this is optional

    • Two text fields available for custom messaging on landing page.

    • Examples: reward title and personalized gift message.

  • Gift card catalog selections

    • Choose which brands will be available to guests.

    • All selections must use the same country and currency.

  • Workflow after asset submission

    • SHR team creates mock-up for confirmation.

Configure point conversion rules

Follow the steps below to set the exchange rate for converting loyalty points to gift card dollar value.

  1. From the left navigation menu, click Loyalty Setup and click Point Conversion.

  2. Click Add New Conversion Rule.

  3. Enter the Points to Base Currency Conversion Rate.

    • For example: If 100 points = $1.00, enter 0.01 or if 1 point = $1.00, enter 1.00.

  4. Click Save.

📌Note: This conversion rate determines how many points are required for each gift card value offered to guests.

Create reward notification email

Create the email template that will notify guests of their gift card reward.

  1. From the left navigation menu, click CRM Setup and click Administrative Email Setup.

  2. Click Add Email Template.

  3. Configure basic email settings:

    • Email name: Internal reference name.

    • Subject line: Guest-facing subject.

    • Email type: Select appropriate type for reward notification.

  4. In the email body, insert the custom reward link provided by SHR.

  5. Add personalization tags as needed:

    • {firstname} – Guest first name.

    • {rewardExternalName} – Reward name.

    • {tangoCardAmount} – Gift card value.

  6. Upload any additional branding elements or images.

  7. Add translations for all supported languages.

  8. Click Preview to test rendering.

  9. Click Save.

🤓Tip: Use the {tangoCardRewardName} tag to dynamically display the selected gift card brand if using Tango Card's email template option.

Create partner reward rule

Create the reward rule that defines when and how gift cards are issued.

  1. From the left navigation menu, click Loyalty Setup and click Reward Formula Setup.

  2. Click Add Reward Rule.

  3. Configure general information:

    • Reward code: Unique identifier for example GIFTCARD-10STAY).

    • Reward type: Select partner reward.

    • Internal reward name: Name visible to hotel staff.

    • External reward name: Name visible to guests.

    • Reward description: Optional guest-facing description.

  4. Configure issuance settings:

    • Dates: Start and end dates for reward availability.

    • Issuance trigger: When reward should be issued.

      • Manual or campaign.

      • After specific event.

      • Based on segment membership.

  5. Select the email template.

  6. Click Save and Close.

⚠️Important: Partner Reward type must be selected for Tango Card integration to function properly.

Associate reward with segment, this is optional

Automate reward issuance by linking the reward rule to a segment.

  1. From the left navigation menu, click Segments.

  2. Select or create a segment that identifies qualifying guests.

    • For example: Members with ten completed stays in twelve months.

  3. In the segment Details tab, locate Reward Rule.

  4. Select the reward rule.

  5. Configure Send Reward Email By Campaign:

    • No (default): Automatic email sent when guest is added to segment.

    • Yes: Reward issued but email must be sent via campaign.

  6. Click Save and Close.

📌Note: Guests added to this segment will automatically receive the reward and notification email, if automatic sending is enabled.

Enable gift card page in guest portal

Allow guests to redeem points for gift cards directly through the guest portal.

  1. From the left navigation menu, click CRM and click Guest Portal Setup and click Custom Menu.

  2. Locate the GiftCard menu code.

  3. Ensure Active is set to Yes.

  4. Click Save and Close.

  1. Replace XX with your client ID from CRM Setup and click Client Management.

  2. Log in as a test guest.

  3. Navigate to /guest/Account/GiftCards.

Can I limit gift card selections to specific brands?

Yes. You control which brands appear in your catalog. You can offer as many or as few options as appropriate for your program, and you can hide competitor brands from the selection.

What does the guest see when they redeem a reward?

Guests receive an email from the CRM with a custom reward link. Clicking the link takes them to a branded landing page where they select their preferred gift card from the available catalog. The experience is fully branded to your property or group.

How do guests know how many points they need?

The gift card redemption page in the guest portal displays available gift card values and the required points for each based on your configured conversion rate. Guests can only select gift cards they have sufficient points to redeem.

Can I offer gift cards in multiple currencies?

Yes, but multi-currency configuration requires coordination with the SHR team. All gift cards in a single redemption transaction must use the same currency.

Who manages the Tango Card account funding?

Hotels and brands fund their Tango Card accounts directly. SHR does not manage funding or payment processing. The CRM displays your current balance for reference but all funding transactions occur outside the CRM.

What happens if my Tango Card account runs out of funds?

Guests will not be able to redeem gift cards until the account is refunded. Configure the Low Balance threshold and admin notification email to receive advance warning when funds are running low.

Can I send gift cards as non-loyalty rewards?

Yes. While most implementations use loyalty points, you can also send gift cards through campaign workflows or manual reward issuance by creating reward rules with Partner Reward type.
