Template Designer – Text and Heading

Add and format text and heading content blocks in the SHR CRM Template Designer, including inline formatting, block settings, personalization, and Smart Text.

The Text and Heading blocks are the primary tools for adding written content to your templates. The Text block is a general-purpose block for body copy and longer-form content, with styles inherited from the Body tab but overridable at block level. The Heading block is designed for titles and section headers, using predefined heading styles to create visual hierarchy. Both blocks support personalization tags, Display Conditions, and responsive design settings.

Before you start

Review the following before working with Text and Heading blocks.

  • Text and Heading blocks must be placed inside a column within a Columns row. They cannot be added directly to the canvas.

  • Default text styles, including font family, font weight, font size, and color, are set in the Body tab and apply across all Text blocks unless overridden at the block level.

  • Emojis can be inserted in text content but should be tested across email clients and devices before publishing.


Add a Text or Heading block

In an email template

Follow the steps below to add a Text or Heading block to an email template.

  1. From the left navigation menu, click Campaign Management Tools.

  2. Click Channels, then click Emails.

  3. Open the template you want to edit and click Designer.

  4. Click the Content tab in the right-side panel.

  5. Drag the Text or Heading block from the panel into a column in the canvas.

  6. Click the block to select it. The right-side panel updates to show the block settings.

In a landing page template

Follow the steps below to add a Text or Heading block to a landing page template.

  1. From the left navigation menu, click Campaign Management Tools.

  2. Click Components, then click Landing Pages.

  3. Open the template you want to edit and click Designer.

  4. Click the Content tab in the right-side panel.

  5. Drag the Text or Heading block from the panel into a column in the canvas.

  6. Click the block to select it. The right-side panel updates to show the block settings.


Edit text using the inline toolbar

Click directly on the text in the canvas to enter edit mode. The inline WYSIWYG toolbar appears below the block, providing direct formatting controls for selected text.

The inline toolbar contains the following tools.

  • B (Bold): Makes selected text appear darker and thicker.

  • I (Italic): Slants selected text to the right.

  • U (Underline): Places a line beneath selected text.

  • S (Strikethrough): Places a line through selected text.

  • A (Font Color): Opens a color picker to change the text color. Enter a HEX value or select from the palette. Use the adjacent dropdown for text background color.

  • X² (Superscript): Positions selected characters slightly above the normal text line.

  • X₂ (Subscript): Positions selected characters slightly below the normal text line.

  • Emoji: Inserts an emoji at the cursor position.

  • Bullet List: Inserts a bulleted list. Use the dropdown to select the list style.

  • Numbered List: Inserts a numbered list. Use the dropdown to select the numbering format.

  • Insert/Edit Link: Adds or edits a hyperlink on selected text.

  • Display Conditions: Opens display condition rules for this specific text element.

  • Personalization: Opens the personalization tag picker to insert a tag at the cursor position. Personalization tags dynamically insert profile or reservation data into the email at send time.

  • Smart Text: Opens the AI-powered text rewriting tool. See the Use Smart Text section below.


Configure block-level settings

When a Text or Heading block is selected, the right-side panel displays block-level settings that apply to the entire block.

The block panel contains the following settings.

  • Font Family: The font used for the entire block. Overrides the Body tab default for this block.

  • Font Weight: The weight of the text (for example, Regular, Bold). Overrides the Body tab default.

  • Font Size: The text size in pixels. Use the + and – buttons or type a value directly.

  • Color: The default text color for the block. Overrides the Body tab default.

  • Text Align: The alignment of text within the block: left, center, right, or justified.

📌 Note: Block-level settings apply to all text within the block. To style individual words or phrases differently, use the inline toolbar after selecting the specific text.


Enable Display Conditions on a Text or Heading block

Display Conditions allow the block to be shown or hidden for specific recipients based on their profile data.

Follow the steps below to enable Display Conditions on a Text or Heading block.

  1. Click the block in the canvas to select it.

  2. In the inline block toolbar that appears above the WYSIWYG toolbar, click the checkmark icon. This enables Display Conditions for the block, and the Display Condition section becomes active at the top of the right-side panel.

  3. Configure the condition to control which recipients see this block.

Insert a personalization tag

Personalization tags dynamically replace placeholder syntax with recipient-specific data, such as a guest's first name or check-in date, when the email is sent.

Follow the steps below to insert a personalization tag into a Text or Heading block.

  1. Click inside the block to place your cursor where you want the tag to appear.

  2. In the inline WYSIWYG toolbar, click Personalization.

  3. Browse or search for the tag you want to insert.

  4. Click the tag to insert it at the cursor position.

📌 Note: Personalization tags must be entered exactly as defined. Refer to the Personalization Tags article for a full list of available tags and their syntax.


Use Smart Text

Smart Text is an AI-powered tool that helps you optimise and rewrite text content within a block.

Follow the steps below to use Smart Text.

  1. Click the Text block in the canvas to select it.

  2. In the inline WYSIWYG toolbar, click Smart Text.

  3. Select from the available actions.

  4. Review the AI-generated suggestion before accepting it.

  • Fix Spelling and Grammar: Corrects spelling and grammatical errors in the current text.

  • Expand: Lengthens the current text with additional relevant content.

  • Summarize: Shortens the current text to its key points.

  • Rephrase: Rewrites the text while preserving its meaning.

  • Change Tone: Adjusts the tone of the text. Options include Friendly and Formal.

📌 Note: Smart Text supports multiple languages. Always review AI-generated content for accuracy and brand alignment before publishing.


Use Smart Headings

Smart Headings is an AI-powered tool available in the Heading block that generates alternative heading text in different tones.

Follow the steps below to use Smart Headings.

  1. Click the Heading block in the canvas to select it.

  2. In the block settings panel, locate the Smart Headings section.

  3. Select a Tone for the suggested headings.

  4. Review the suggestions generated. Click Refresh to generate a new set of suggestions in the same tone.

  5. Click a suggestion to apply it to the heading block.

  • Friendly

  • Luxury

  • Relaxed

  • Professional

  • Bold

  • Witty

⚠️ Warning: Always review AI-generated headings for accuracy and brand alignment before publishing.


Duplicate or delete a block

The inline block toolbar above the WYSIWYG toolbar provides two additional options for managing the block.

  • The copy icon duplicates the block, creating an identical copy immediately below it.

  • The trash icon deletes the block from the template.

Block-level settings and inline formatting

Block-level settings in the right panel apply to all content within the block, including font family, weight, size, color, and alignment. Inline formatting using the WYSIWYG toolbar applies only to the specific text you have selected, allowing you to style individual words or phrases differently from the rest of the block.

Block-level settings and Body tab defaults

Block-level settings override Body tab defaults. If a Text block has its own font or color settings, those will take precedence. To make text follow the Body defaults, clear the block-level overrides.

Personalization tags in Heading blocks

The Personalization option is available in the inline toolbar of both Text and Heading blocks.

Formatting individual words or phrases

To format a specific word or phrase differently from the rest of the block, select it using your cursor and apply formatting using the inline WYSIWYG toolbar. Bold, italic, underline, color, and other inline options apply only to the selected text.

Smart Text and language support

Smart Text supports multiple languages. Enter your content in the desired language and the AI will work within that language context. Always review AI-generated content before publishing.
